Setting up a Trackler step by step
Okay, you've made the choice to structure and professionalize your business: you've started with Trackler. Trackler started as a fairly basic program with a few necessities and has since grown into an extensive range of tools, features and possibilities. This article will help you set up Trackler step by step to fit your coaching business.
Step 1: Write out your structure
What steps have you taken so far, from the first customer contact to onboarding, the journey itself and the completion? Here you will find an article that explains in detail what a coaching process can look like.
An example of such a structure:
- Lead sends a message via LinkedIn/contact form on website/e-mail
- You can choose a Scheduler to create
- Call lead for a quick introduction
- Start the process within Trackler and invite your new customer/client or coachee.
- This can be done by means of a invitation link
- A first appointment is scheduled (automatically)
- After the appointment a reflection form will be sent (automatically)
- When this form is submitted, a step in the process is completed (automatically)
- After 3 appointments there is an interim evaluation (automatic)
- After completing the course, an evaluation form will be sent (automatically)
Step 2: Start decorating
Once you have your flow figured out, it can be set up in Trackler.
Forms
First you have to create Form templates. You need these to automations and trajectories to set up properly. Think of an intake form that you want to share in the Track after they have accepted the invitation, or a reflection form that you want to send after each appointment, or an evaluation form that is sent out after the end of the trajectory.

Trajectories
Make your route(s) on, and choose when checkboxes should be automatically unchecked. This can be done manually, but can also be done after a form has been submitted, or an appointment has expired.
Automations
You now have a flow, form templates and trajectories. Now you can set up automations. Here you will find a handy article with some essential automations.
If we go back to the top of this article, you will see that steps 4 through 8 happen automatically. Let's work through a few of them.
A first appointment is automatically scheduled
You can set up that when accepting an invitation, a message is automatically sent to the Track with Scheduler. In that Scheduler, people can schedule a first appointment with you.
After the appointment a reflection form will be sent
When the appointment date and time has passed, a reflection form will be sent to the Track. This can be filled in by the Trackee and you will receive a message when this has been done. This way you can read through the answers in preparation for your next session.
When this form is submitted, a step in the process is completed
So that your trajectory continues automatically and you do not have to take any manual steps. And it is clear for Trackee and Track Leader where you are in the trajectory.
